A full-stack, multi-tenant platform for running structured mentorship programs — automating everything from smart mentor-mentee matching to meeting reminders, mission tracking, project management and state-of-the-art state management, across multiple organizations from a single deployment.
Organizations running structured mentorship programs — NGOs, academic institutions, corporates — were stitching together their operations from fragmented tools. Mentor-mentee pairing happened manually, over email, with no algorithmic logic and no audit trail. Coordinators spent hours chasing spreadsheets instead of running programs.
Once a match was made, there was no system to track whether meetings actually happened. No reminders fired. No feedback was collected. Administrators had no real-time view across their active cohort. Every payment cycle meant manual work and exposure to VAT compliance gaps under Israeli law.
The deeper problem was structural: there was no concept of a "project" — a bounded cohort with its own rules, population, timeline, and pricing. Every organization was reinventing the same program from scratch, without the infrastructure to scale it.
"Before Watoobi, our team was coordinating everything by hand — it was impossible to scale."
Watoobi approach quickdev for a full-stack, end-to-end solution: a web platform that would handle every aspect of running a mentorship program, from participant registration to match lifecycle to payments and compliance. We built it as a project-centric, multi-tenant platform: each Organization can run multiple Projects, each with its own mentor and mentee populations, configurable matching rules, pricing, branding, and timelines — all served from a single deployment.
At its core is the MatchMaker engine — an algorithmic service that evaluates registered participants against configurable project rules (occupation, career stage, geography, helpWith categories, seniority) to produce ranked match candidates. Admins review and confirm pairings, triggering a formal match lifecycle. From there, the platform takes over: meetings are scheduled, SMS and email reminders fire automatically via Pulseem and Brevo, feedback is collected, and missions are tracked per participant — all without coordinator intervention.
Paid programs collect per-mentee fees through an integrated payment gateway and generate VAT-compliant Israeli tax invoices automatically via Morning — zero manual steps from signup to receipt.
Before Watoobi, our team was coordinating everything by hand — it was impossible to scale. Now our operators run three times the number of matches with half the effort, and our mentees actually show up to meetings because the reminders just work. It's the infrastructure our program always needed.
